Raised by SV via email - concern regarding sum of money we have remaining coming to the end of the academic year and ensuring that we are spending fundraising or have planned intentions for fundraising and that large amounts of money are not left sitting in the PTFA account. Wishlists reviewed - see section below Proposed by SV - financial guideline document to be reviewed by PTFA committee to confirm expectations and guidance for managing finances, purchases and expenses as a charitable trust Action - All PTFA to review and feedback on finance document at July committee meeting We are in the process of receiving a very generous donation via gift aid with a request to identify spending on STEM activity or resources with a particular focus on encouraging STEM for girls. We are very thankful for this kind donation, we are working with the school SLT to determine how this donation is spent with the aim that the resource or activity will be in place for Term 1 of academic year 26-27 |

IT suite for classes of children to improve IT literacy using keyboard and mouse STEM robotic equipment Green screen Refurbishment of Wellbeing POD Currently principal is off on long term sick, PTFA awaiting confirmation from school SLT to agree big spend relating to IT equipment, STEM equipment and Wellbeing POD refurbishment as a priority. PTFA wanting to support Principle wish and therefore with intention for big spend in relation to the above believe that we have a plan for the money in the PTFA account but due to nature of the current year, sickness in the school SLT and vacancy in the PTFA committee that this spend may not be made until the next academic year.

BW raised that the minibus had broken down, could funds be used to support maintenance/ use of minibus
Instant Print Camera - to support fundraising events = purchased New Tin can alley - to support fundraising events = purchased New ice cream type scoops to support events = purchased Wooden tokens - to support payments at events = purchased BBQ - to support events = held at present Outstanding action KP to launch online wishlist forms which can be accessed through QR code or link on website so anyone can engage with the PTFA and request a wish for spending As well as providing a more effective method for monitoring and recording requests for spending. |
7 | Update on Fundraising, Events, competitions, Projects | Standard items:

Sell pre-loved uniform, introduce PTFA and class rep roles HF and JP will attend from PTFA, T will also be there to support and can provide further info on class rep roles. Update from school = thank you for the offer but no requirement for the PTFA to provide refreshments
Update = Off line sumup went well Each of the discos went well, no immediate feedback from parents or concerns raised on the night or since.
Opportunity to see if any of our community can gain matched funding through their workplace JP to put in newsletter = £1886.81 SW has handed over to Carly as SW is leaving PTFA this year
General Fundraising opportunity into general PTFA funds. Requires a PTFA member to coordinate dates with school, purchase ice creams, arrange rota and communicate via class reps KP raised who on PTFA currently has capacity to pick this up, PTFA had previously discussed starting frozen friday sales before now but no one has been able to dedicate time to organising it. Discussion around who can lead this fundraising opportunity and thoughts on how parents and children would feel if we didn’t run frozen fridays this year. Decision that we would continue to approach Mrs Woolley to confirm selling dates requesting 3 dates to sell with the intention of pairing year group sales and not requesting year 6 parents to pick up a frozen friday sale as they leave this year Action = KP requested meeting with Mrs Woolley
Same as last year PTFA will purchase fruit for students and staff, require volunteers to chop fruit PTFA will set up refreshments for spectators, setting up stall and creating an honesty box + sum up machine so spectators can self serve This worked well in previous years and ensures no volunteers then miss watching their child take part in sports day KP raised in last year year 4 class there was a request for parents to contribute food to make Pizza, flour, passatta…. As part of Healthy and fitness week There was a thought at that time to see if PTFA could support £ and purchasing for any substantial requests Action = KP to ask Mrs Woolley
LF update Communication with class reps concern regarding lack of volunteers to run stalls. We have already had to close the tattoo/ face painting stall due to lack of volunteers should we close more stalls ?? KP at previous events where there has been a lack of volunteers and have 2 games on the stall have decided to provide one or the other. Agreement to continue with all stalls and inform class reps to offer what they can. BW question about why a saturday, answered by KP = discussed and minuted in previous PTFA minutes. PTFA received feedback from parents prior to christmas fayre asking why events were held on a sunday and as a religious school if there was an opportunity to hold on a different day. PTFA approached Mrs Ballentine and there was no reason why events couldn’t be held on another day. Saturday the school has a long term booking with little kickers who have a booking until 3:30pm Discussion in the PTFA considering after school on a Friday, would require more flexibility from teachers to move classrooms, after school club and the PTFA and its set up volunteers to be available during what may be their normal working hours. PTFA vote and agreement to run summer fair on a Saturday Also to publish dates for events at the beginning of the school year so everyone can plan to be available to attend and volunteer events if they wish. LF raised needing to confirm what has been purchased and when it is arriving LF will message SV + G LF raised does anyone know where extension leads are, if PTFA have any KP will look tomorrow ? buy some for PTFA LF has Risk assessment and will produce for all stalls to ensure volunteers are aware of risk - request from Alex caretaker for all volunteers to sign the risk assessment. We will request signatures on the day. Plan to scan document after and store on PTFA googledrive. KP to check teachers rota for the bottle stall SW raised Jason (previous treasurer) has volunteered his time to act in role of cashier for the fayre, KP to work alongside. KP to charge sumups + walkie talkies KP to liaise with Marcus re sum ups First aid - KP to confirm with Mrs W regarding teachers for first aid. SW raised could put a request out to parents as many are healthcare workers and may have certified paediatric first aid training. KP confirm small lottery license money has been taken by the council LF candy floss and bouncy castle people need cash, will cover from floats. Suggest need to find another provider as the lack of communication from them is very frustrating and anxiety driven not knowing what they are planning, when or if they are coming. CB to bag up 10 tokens on friday when we label up bottles SW confirmed deposit for Joes Bakery has been paid LF - no compare as yet. KP is having lesson from Mr Davis on how to PA Extra Events / Competitions: HT - Gardening at the weekend in the rain - thankyou to all of the gardening team. Sunflower seeds and planting resources all in place. Sunflower growing launched in assembly today, classes undertaking planting and keep in classroom then come home. Opportunity to run sunflower growing competition again over the summer. Agreed will publicise this after summer fayre. ? who will lead on this as HT is stepping down from PTFA HT will speak to gardening sub committee and other interested parties to see if anyone would be willing to stand as a PTFA committee role and continue to provide link and focus on ‘care for your common home’ sustainability and continued use of planting resources. |
8 | Communicated Correspondence, feedback to the PTFA | Year 6 video being sold on PTFA website currently on hold whilst the school SLT confirm consent and where funds are to be allocated Disco pictures Concern raised regarding wording around pictures being taken at school disco. Last minute communication requesting no pictures to be taken and to cherish memories instead. This communication received no further feedback. |
